1. Who we are and what this covers
Fieldr is a volunteer-management platform operated by RallySoft, LLC ("RallySoft," "we," "us"), a Minnesota limited liability company based in Minneapolis, Minnesota. This Privacy Policy explains what information Fieldr collects, how we use it, and how it is shared.
Fieldr is offered to nonprofit organizations in the United States. We currently offer the service only to organizations operating in the United States, and specifically in Minnesota. This policy is written under United States and Minnesota law.
2. NPOs, volunteers, and our role
Fieldr is used by two kinds of people:
- Nonprofit organizations (NPOs) — our paying customers. An NPO signs up for Fieldr, sets up its organization, and manages its own volunteers, events, and grant programs.
- Volunteers — the people an NPO invites to use Fieldr to sign up for events, log hours, and apply for grants.
Each NPO decides what volunteer information to collect and how it is used within its own organization. RallySoft stores and processes that information on the NPO's behalf, to operate the Fieldr service. RallySoft does not sell volunteer information, and does not use it for advertising.
3. Information we collect
Information from NPOs (account data)
- Organization details: display name, legal name, EIN, address, and logo.
- Administrator contact information: name, email, and phone number.
- Billing information (handled by our payment processor — see §5).
Information about volunteers
- Contact and profile information: name, email, phone, emergency contact, and profile photo.
- Participation data: events signed up for, hours worked, and attendance.
- Financial and grant information: grant applications, the categories applied for (such as tuition, sports fees, or activity fees), amounts requested and approved, and earnings credited.
Information collected automatically
- Basic technical data needed to operate and secure the service, such as log information and device/browser information.
4. How we use information
We use information only to provide and operate Fieldr, including to:
- Set up and run NPO accounts and volunteer profiles.
- Manage events, sign-ups, lotteries, and staffing.
- Process and track grant applications and decisions.
- Send service-related notifications (such as lottery results and event assignments).
- Provide support, maintain security, and prevent misuse.
- Bill NPO customers and manage subscriptions.
We do not sell personal information, and we do not use volunteer information for advertising or marketing to volunteers.
5. How information is shared
We share information only as needed to operate the service:
- Within the NPO. A volunteer's information is visible to the administrators of the NPO that the volunteer belongs to. Each NPO's data is kept separate from other NPOs on the platform.
- Concessionaire and venue partners. When a volunteer is assigned to work an event at a venue, that volunteer's information is shared with the concessionaire and the venue where the volunteer will be working (for example, a food-service operator and the stadium or arena hosting the event). This sharing is necessary so the volunteer can be scheduled, assigned to a stand or station, checked in, and trained for the role they will perform. The information shared includes the volunteer's name and contact details, the events and stands they are assigned to, and any details the concessionaire or venue requires to staff, train, and manage volunteers on site. By using Fieldr to staff events at these venues, NPOs and their volunteers understand that this information is shared with the applicable concessionaire and venue partners for these purposes.
- Service providers. We use trusted providers to run Fieldr, including Google Firebase / Google Cloud for hosting and data storage, and a third-party payment processor for billing. These providers process information on our behalf.
- Legal reasons. We may disclose information if required by law, or to protect the rights, safety, or property of RallySoft, our customers, or others.
- Business transfers. If RallySoft is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
6. Data retention and deletion
We keep information for as long as an NPO maintains its Fieldr account, and as needed to provide the service. When an NPO's account ends, the NPO may request an export of its data, and we will delete or de-identify the NPO's data within a reasonable period after the account closes, except where we are required to retain certain records by law.
7. Security
We use reasonable administrative and technical safeguards designed to protect information, including access controls and encryption in transit. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting personal information, we will respond in accordance with applicable Minnesota and federal law, including any required notifications.
8. Eligibility (adults only)
Fieldr is intended for use by adults. The service is not directed to children, and we do not knowingly collect information from anyone under 18. NPOs are responsible for ensuring that the volunteers they invite to Fieldr are adults.
9. Your choices
If you are a volunteer and want to review, correct, or remove your information, contact the NPO that invited you — they control your information within Fieldr. If you are an NPO administrator and want to access or delete your organization's data, contact us using the details below.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify NPO administrators. Your continued use of Fieldr after changes take effect means you accept the updated policy.
